HOW TO BOOK OR CANCEL A ROOM
If you are looking for information on a tournament please click on the appropriate tournament and check the booking instructions for your preferred hotel. If the hotel is booked direct you can call the number listed. If the hotel is only to be booked on our online system and you are booking 10 or more rooms please click on contact us and send us a TEAM BOOKING REQUEST (Also found under the Contact Us link) by email or fax. If you are looking for less than 10 rooms you may go directly to the bottom of the online system the link “Click here to book online” is available to make an immediate reservation.
If you have booked your room online and we are 30 days prior to arrival our online system shuts off so that we may send your reservation to the hotel. After input the hotel will assign their own confirmation # and your # starting with "323----- will go away. If you need to cancel a room, hang up, call the hotel direct and give them your last name and arrival date to retrieve your reservation.
IMPORTANT: 30 days - 2 weeks prior (each hotel is different) the hotel requires us to stop selling rooms at the group rate to prepare for arrival. Therefore, if the hotel says they are sold out or that the group rate is no longer valid, please hang up and contact us for assistance with your preferred hotel. We may still be able to accommodate your needs.
I can't reiterate enough how important it is to book within the NCVA block. In order to hold these events at convention centers, NCVA MUST prove that so much revenue is being brought into the city via the hotels accommodations, food and beverage and, (in the case of Reno) casino operations. Therefore, every time you book outside the NCVA block it hurts the tournament because NCVA can't prove to the city ALL the revenue they are generating. Please support NCVA by doing everything you can to book at one of their contracted hotels within the block. It is in the best interest for everyone for convenience and financially.
If a hotel rate says pending please do NOT book the room yet. That means the NCVA special rate is in progress and the hotel will be able to book shortly. Please continue to check back periodically for hotel confirmation.
NCVA Reservations can’t be responsible for reservations left on our recording that needs to be cancelled less than 7 days prior to arrival.
